What is the International Travel Form?
The form that must be used to register travel for travel insurance purposes.
What is WorldAware?
The company to which travel data is uploaded. This company provides the travel alerts directly to the travellers for the countries they are visiting and allows University staff to quickly identify who is where and when in the case of an emergency (WorldView). WorldAware also provides detailed information on each country via their website.
What do I need to complete when I am requested to complete a field risk assessment form?
You need to complete a Hazard Identification Risk Assessment Form from the University's Health & Safety website.
Where is considered as the UK with regard to travel insurance?
For University travel insurance purposes the UK is defined as Wales, Scotland, England and Northern Ireland. Any travel outside these areas is considered to be international travel and the International Travel Form must be completed to register the trip for travel insurance purposes.
What happens if I don’t complete the International Travel Form to register my trip?
If you fail to register your trip on the International Travel Form, we may be unable to assist in the event of an incident or claim.
Which international trips do I have to register?
All trips outside the UK that are undertaken on behalf of the University of Exeter must be registered by using the International Travel Form.
Who does the University of Exeter travel insurance cover?
The University of Exeter travel insurance covers all staff, post-graduates and volunteers who are travelling outside the UK on behalf of the University of Exeter.
Does the University of Exeter travel insurance cover under-graduates?
The University of Exeter is able to arrange travel insurance for under-graduates, who are travelling outside the UK as part of their studies. A contribution towards the travel insurance policy is required. I have my own personal travel insurance, do I need University of Exeter travel insurance?
Personal travel policies do not often cover working or studying abroad and the cover will be for holiday purposes only. The University’s Insurance Team have considerable experience of helping travellers who are stranded overseas or have been taken ill. We cannot provide assistance, however, where you have arranged your own insurance.
What is the difference between travel insurance and health insurance?
Health insurance covers the cost of routine medical practitioner's visits, medicines, routine vaccinations and tests, whereas travel insurance covers emergency inpatient and outpatient treatment as a result of illness or accident.
Do I have to declare a pre-existing medical condition?
Provided you are not travelling against the advice of a medical practitioner you will be insured by the University of Exeter travel policy. Emergency treatment arising from your medical condition will be covered.
Are routine dentist and doctors appointments insured by the University of Exeter travel insurance?
Only emergency medical appointments are covered by the travel insurance which have occurred as a result of an unexpected injury or illness.
Can routine medical appointments be included within the travel insurance policy?
Routine medical appointments cannot be insured by the travel insurance policy as they are foreseeable.
Does the University of Exeter travel insurance include cover for pregnancy?
The policy does not include routine medical appointments but it does cover medical treatment arising from unforeseen complications whilst pregnant.
Does the University of Exeter travel insurance include winter sports?
Your personal injury and liability arising from winter sports will be covered. Damage to sports equipment whilst in use is not covered.
I have completed the online International travel application form, where are my insurance documents?
Your documents are attached to your confirmation email as links.
Can I combine holiday travel with University business travel?
Yes provided the period of time for holiday does not exceed the period of time for business travel.
Can I include insurance cover for my spouse and children?
Provided your spouse and children are travelling with you on the same inbound and outbound flight, they can be included within the University of Exeter travel policy.
My return to the UK has been delayed am I still insured?
Provided the delay is beyond your control you are still insured.
How do I make a claim?

Students and staff working at third party premises
Am I insured whilst studying or working away from University of Exeter premises?
Provided the you are working or studying for or on behalf of the University of Exeter and a risk assessment has been completed, the University of Exeter and your legally liability will be insured.
Am I insured whilst visiting a third party’s premises?
Provided you are working, studying or visiting on behalf of the University of Exeter and a risk assessment has been completed, the University of Exeter and your legal liability will be insured.
If you are visiting a third party’s premises and you suffer from injury arising from the negligence of the third party or a defect in their premises, a claim should be made against the third party.
What if I am on an employment placement at the third party premises?
If you suffer from injury arising the third party’s negligence you will be covered by the third party’s Employers Liability Insurance.
We are having someone attend the University on work experience, are they covered by the University of Exeter Insurance?
Yes, they are automatically covered by the University Employers Liability Insurance for any accident or injury which may occur as a result of the University’s negligence, provided you have completed a risk assessment.
We have an Academic visiting the University to carry out some research in one of the labs, is he/she covered?
A visiting academic would be covered by the University’s Public Liability insurance for any injury which he/she may sustain as a result of negligence of the University of Exeter or its staff.
The visiting Academic should obtain Public Liability insurance for any damage or injury which they may cause to University property or a University member of staff. This would normally be provided by their employer or as part of their business insurance if self employed.
An Academic who is a subject expert is visiting the University of Exeter to deliver certain modules, what insurance cover does the University require them to have in place?
The University of Exeter requires the Academic to have Public Liability Insurance and Professional Indemnity Insurance. This would normally be provided by their employer or as part of their business insurance if self employed.
A department/service of the University is inviting stall holders onto the campus to sell their wares/services, what insurance cover does the University require them to have in place?
The University of Exeter would require them to have public and products liability cover in place.
Are visitors’ personal belongings insured?
No, the visitor should insure their personal belongings themselves.
Can I insure field equipment whilst it is away from the University of Exeter?
Machinery, Plant, Material's, Scientific Equipment and all other contents on field trips are covered within the University Corporate Insurance Policy, provided the single item is less that £35,000. Any item of field equipment with a replacement value of £35,000 or more must be disclosed to the Insurance Team with full details in order that the insurance cover can be obtained for such items. The sum insured limit for any one claim is £250,000.
Cover is subject to the following exclusions:
a) Loss or damage due to theft or attempted theft from any unattended vehicle
b) Accidental Damage whilst the item is in use
c) Loss or damage to any item in transit which is not being carried in suitable carrying case
d) Theft or attempted theft not involving entry or exit from the Premises by forcible and
violent means or hold-up by violent or threat of violence.
Cover is also subject to the policy excess of £1,000 for each and every loss.
Can I insure equipment which is on loan to the University of Exeter?
Provided the loan agreement makes the University responsible for the equipment it can be insured by the University of Exeter insurers, subject to the policy excess of £50,000.
Can I use my own car for University of Exeter business?
Prior to using your own car for University business you must check with your Motor Insurer that you are covered to drive your vehicle for your employers business (Some insurers request an additional premium for this cover).
My motor insurance insures me to drive to my usual place of employment. I am based at Streatham Campus but sometimes need to visit another campus, does my motor insurance include travel to another campus?
No, it only covers travel to Streatham Campus, you will need to contact your motor insurers to include insurance cover to drive to another campus.
