The preferred browser is Chrome and can also use Edge or Safari browsers.

Please do not use Firefox as it has compatibility issues.

If you cannot view an entire T1 page on your screen, please use your brower's zoom function to zoom out and the page should resize to show all content.

The University’s finance system is provided by TechnologyOne and is commonly known as T1 or TechOne.

The system is used for purchasing goods and services, purchasing (corporate credit) cards, advances, expenses, processing invoice payments, sales invoices, strategic and performance planning, forecasting and budgeting.

New Users

The T1 finance system is part of the University's single sign on.

Permanent and fixed term contract staff

Access to T1 is automatically set up within seven days of the staff details being created in Trent.

Associate and casual staff 

Access is not automatically set up for associate/casual staff.  The line manager/supervisor should complete a NEW_USER_REQUEST form in T1's Forms function including the login ID of the associate staff member.  If the form is being completed by anyone other than the line manager/supervisor, then an email must be attached to the form confirming the manager's authorisation to create this T1 account.

Please note that associate and casual staff cannot use T1 to claim expenses and should use a payment form instead.

Initial access for all staff is always set up with basic functionality - if specialised access is required (such as budget holder or project manager, for example) also complete a CHANGE_USER_REQUEST form in T1's Forms function.  Include the login ID of any other staff member whose access can be mirrored and attach an email from the line manager confirming this level of access is required.

Students

Access is not automatically set up for students, so check if it has already been set up by trying to log in to T1 here

If this doesn't work, ask a member of staff to complete a NEW_USER_REQUEST form in T1's Forms function

  • The request must be authorised by a member of staff who can confirm that the student has a genuine need to access T1.  For example, this could be the student's academic supervisor, course leader, course administrator or budget holder of the cost code about to be used by the student.   
  • If the form is completed by a member of staff who cannot authorise the request, then an email from the authoriser must be uploaded and attached to the form.
  • Only currently enrolled under- and post-grad students can use T1 - it is not available for interrupted or graduated students. 

Staff requiring access for five or more students can use the  Bulk T1 Access Request for Students.  Once completed, please email to financesystems@exeter.ac.uk.

Change Access for Existing T1 User

Any T1 user who requires a change to their T1 access (through change of job role, for example) should complete the CHANGE_USER_REQUEST form in T1's Forms function.  Include the login ID of any other T1 user whose access should be mirrored and attach an email from the line manager authorising the change.

Approval Hierarchy

T1 budget approvals are based on a hierarchy system linked to the value of the transaction.  

Some lower value transactions will be auto-approved and some higher value transactions may need to go through several levels of the hierarchy.

Each budget in T1 has a single budget holder who has overall responsibility for its management and appoints two pools of staff to help manage spending requests on their behalf. There are two types of pool:

  • Admin pools approve up to £10k
  • Senior pools up to £20k.

Approval pools and budget holders are the first levels in the University’s budget hierarchy. If a spending request exceeds the approval pool’s limits or if there aren’t any pools set up, then it will go to the budget holder. If the approval request also exceeds the budget holder’s limit, then the approval task continues up a College/Service approval hierarchy needing approval at each level until the required level is reached.

Each College and Service has its own hierarchy that covers all the budget centres allocated to it. Projects follow the hierarchy for the budget centre code (the last four digit section) within the project's full T1 code.

Approval workflow

 

Approval pools are set up per budget centre and project so staff may need to be members of several pools depending on their job role. There is no limit to the number of staff in a pool though most have between one and four members.

Approver Limits

  • Grade F - £25k
  • Grade G - £50k
  • Grade H - £100k
  • Non-Scale Professor/Senior Professor/Senior PS staff - £150k
  • College PVC/Service Director - £500k
  • Provost/Registrar Secretary/DVC - £3 million
  • Two of Provost/Registrar Secretary/DVC - above £3 million

View Budget Holder and Approval Pool Members' Names

Use the T1 Code Dashboard to find budget holder names.

To find names of approvers in admin and senior pools - enter the first six digits of a project code or four digits of the budget centre code, plus A for admin pool/S for senior pool into the search field in T1's Resource Pools function.

View Your Approval Tasks

Approval tasks are sent by email to the approver's University email address and can be actioned using the buttons within the email or from within T1's My Tasks function, on the home page.  Completed approvals can be viewed using 'My Tasks'.  Email tasks will not work if forwarded to a colleague or to a non-University or private email address.
