Planning an online virtual event
There are many benefits to holding an online event as opposed to an ‘in-person' event. Online events are more cost effective, more sustainable, and most importantly at this present time, comply with social distancing rules. Transitioning your physical event to an online event or creating a new online event is the best way to safely and effectively engage your community and clients.
The Corporate Events team have provided some tips and links to external resources, which will help you plan and deliver an event online. See: Guidance for online events.
Whilst visual imagery (photograph, film footage) is key to the success of your project, together with the use of colour, branding, style and concept, which all contribute to the impact and identity of your materials the requirement to be GDPR compliant when using any images is essential. It is illegal to use anyone’s image without their consent and this consent must be documented and be able to be demonstrated.
Guidance relating to the use of images in presentations which are for commercial purposes can be found here.
The Events Planning toolkit includes checklists, templates and other resources to help event organisers. All University of Exeter staff and students are welcome to use and share this resource.
How to cost your proposal
Global Partnerships funding is categorized as internal funding and as such, it is not deemed time efficient for Research Services to get involved with the costing of these projects. Instead, we encourage you to determine and provide realistic and sensible estimates for your project costs. For help and guidance on obtaining these estimates we advise the following.
If being held at Exeter: Event Exeter will be able to help by providing you a quote for your proposed workshop. If being held at a Partner Institution, please ask a colleague / collaborator at the partner institution for a representative quote.
The University recommended travel agents Key Travel or Click Travel will be able to provide quotes on request. Or, you may wish to base your estimates on online searches using mainstream travel comparison websites. As always, when planning and booking travel, please follow the standard university policy on international travel, and register for insurance; http://www.exeter.ac.uk/staff/internationaltravel/
Further information on booking travel can be found here: http://admin.exeter.ac.uk/corporate/procurement/exeteronly/travel.shtml
Estimates for overseas subsistence can be based on HMRC Worldwide Subsistence rates.
Please follow the usual University of Exeter procurement policies & procedures.
For extensive information regarding University salaries please visit the Salaries and oncosts website page.
For guidance on the costing of full-time, all year appointments, where oncosts are required for salary costing purposes, please refer to the oncost table (2020 rates)
